Hybrid Events vs. In-Person: What Makes More Business Sense for Kenyan Companies?

By Artlink Agency8 min readConferences · Events

The hybrid event became a permanent fixture of the corporate calendar after 2020 — and for good reason. But in the years since, many Kenyan businesses are still unclear on when to go hybrid and when to commit fully in-room. The decision is more consequential than it looks, and it has significant implications for your production budget, your reach, and your audience experience.

The answer is not "hybrid is better" or "in-person is better." It's: what are you actually trying to achieve?

What is a hybrid event, exactly?

A hybrid event runs simultaneously in-person and online — with a live audience physically in the venue and a virtual audience joining via a livestream platform. Done well, both audiences feel fully included. Done poorly, the virtual audience gets a bad camera feed and a muted microphone, which is worse than not inviting them at all.

A proper hybrid event is not an in-person event with a phone propped up at the back. It requires dedicated streaming infrastructure, a separate technical director managing the online feed, audience management tools for virtual Q&A, and a production team that has actually done this before at scale.

The case for in-person events

Nothing replaces the energy of a room. If your goal is relationship-building, high-stakes presentations, emotional resonance, or team alignment, in-person wins — every time. Delegates pay more attention, stay longer, engage more deeply with speakers, and connect with each other in ways that a Zoom chat box cannot replicate.

For events where the room itself is part of the outcome — sales conferences, product launches, internal leadership summits, team-building days — the in-person format is almost always the right choice.

The case for hybrid events

Reach. A delegate in Johannesburg, London, or Geneva can attend your Nairobi conference without flights, hotels, or visas. Hybrid events expand your potential audience dramatically, increase your speaker options (a global expert can address your audience without flying in), and create a permanent, shareable archive of the entire event.

For conferences where geographic diversity is the point — industry summits, annual general meetings with international shareholders, NGO convenings with regional partners — hybrid is not just a convenience, it's a strategic advantage.

"Hybrid is not in-person with a camera at the back. It's a different production entirely."

Which format suits which goal?

Choose In-Person

  • Sales conferences and team alignment
  • Product launches and brand activations
  • Internal leadership and strategy events
  • Networking-first events
  • Events where the room energy is the point

Choose Hybrid

  • AGMs with remote shareholders or board members
  • Industry summits with international audience
  • NGO convenings with regional partners
  • Conferences where you want a post-event archive
  • Events with high-profile remote speakers

What hybrid events require from production

Nothing replaces the energy of a full room — in-person events deliver presence that no livestream can match

This is where many event planners underestimate the brief. A hybrid event is a fundamentally different production challenge. You need: dedicated broadcast encoding infrastructure, a separate director managing the online feed in real time, tools for virtual audience Q&A, lower-third graphics for the stream, multi-platform distribution (YouTube Live, Zoom Webinar, custom RTMP), and post-production of the stream recording for distribution.

At Artlink Agency's conference production team, we treat the virtual audience as a first-class audience — not an afterthought. The stream gets its own camera plan, its own audio mix, and its own director. That's the difference between a hybrid event that works and one that makes your remote delegates feel like second-class attendees.
