Event production cost is determined primarily by four factors: the scale of the audience, the technical complexity of the programme, the duration of the event, and the venue infrastructure (or lack of it). A 200-person conference in a fully equipped hotel ballroom costs fundamentally less than a 200-person event in an outdoor greenfield venue — because the hotel provides power, rigging points, and a loading bay, while the outdoor venue provides none of those things and each must be brought in.

A professionally produced corporate conference for 300 people in a Nairobi hotel, with full AV (sound, lighting, screens), a three-camera video team, a senior TD, and a crew of eight, typically runs between KSh 800,000 and KSh 1,500,000 for a single day. For a two-day event, factor in reduced rates on equipment (typically 60–70% of day-one cost for subsequent days) but full crew costs.
An outdoor event with the same headcount but requiring generators, ground-stacked PA, and temporary structures runs KSh 1,500,000–3,000,000 because of the additional infrastructure cost.
Large-scale outdoor events (2,000+ people) with broadcast, livestream, and a full stage production run KSh 4,000,000–15,000,000 and above, depending on the scope of the broadcast and the complexity of the talent and programme.
Where clients consistently under-budget
Three areas see the most budget misalignment in Nairobi's events market. First, generators — most outdoor venues and many hotels have insufficient power for a full production rig.
