Artlink Agency — Services

Event & Conference Production Company in Nairobi, Kenya

We design, build, and technically manage conferences, product launches, AGMs, exhibitions, and corporate events across East Africa — from the first brief to the final fadeout.

End-to-End Event Production

From the first site survey and technical brief to the live show and post-event debrief — see how Artlink Agency manages the full production.

What a full-service event production company actually does

An event production company does more than supply equipment. Artlink Agency designs the complete technical environment for your event: the stage, the sound, the screens, the lighting, the broadcast, and the moment-to-moment management of every technical element from setup to wrap. We own the technical production so you can own the event.

We have produced conferences, AGMs, product launches, award ceremonies, exhibitions, and hybrid events for corporations, government agencies, NGOs, and international organisations across Kenya and East Africa. Every project is assigned a dedicated Technical Director who manages the full technical brief from site survey to debrief.

How we work

Our process

01

Brief & Scope

We review your event brief, confirm objectives, delegate numbers, venue, and programme — and establish the technical requirements from the outset.

02

Site Survey

Our technical team visits the venue to assess power supply, acoustics, ceiling height, rigging points, loading access, and connectivity.

03

Technical Design

We produce a full technical plan: equipment list, floor plan, power map, camera positions, and a first draft of the run-of-show.

04

Build & Rehearsal

Equipment is installed, tested, and rehearsed with your speakers and programme team before a single delegate arrives.

05

Live Event

Our crew manages every technical element in real time — from the opening countdown to the final fadeout — so nothing is left to chance.

06

Debrief & Archive

Post-event: recordings delivered, equipment de-rigged, and a technical debrief provided so every future event is better than the last.

Questions

Frequently asked questions

How much does event production cost in Kenya?
Event production in Kenya ranges from KSh 150,000–500,000 for small corporate events (50–150 delegates), KSh 600,000–2.5 million for medium conferences (150–500 delegates), and KSh 3 million or more for large conferences, exhibitions, and award ceremonies. The main cost drivers are the size of the PA system, whether LED screens or projection is required, the number of cameras, and how much custom staging or set build is involved. Artlink Agency provides detailed, line-item quotations for every project.
How far in advance should I book an event production company in Kenya?
For major conferences and exhibitions with 300+ delegates, book your production company at least 8–12 weeks in advance. For smaller corporate events, 4–6 weeks is usually sufficient. Last-minute bookings under 2 weeks are possible but limit your options for equipment, crew, staging design, and technical rehearsal time.
What is the difference between an AV company and a full-service production company?
An AV company typically supplies and operates audio-visual equipment — screens, projectors, sound systems. A full-service production company like Artlink Agency goes further: we design the technical brief, manage the creative staging, provide a Technical Director to run the live show, handle the run-of-show, and can simultaneously record or broadcast the event. We own the entire technical production, not just the equipment.
Does Artlink Agency produce events outside of Nairobi?
Yes. We have produced events in Mombasa, Kisumu, Kampala, Dar es Salaam, Kigali, Johannesburg, and Doha. Our team travels with the core equipment required and sources locally where possible to reduce logistics costs.
Can Artlink Agency handle hybrid events with both in-person and online audiences?
Yes. We have a dedicated hybrid event capability that integrates live production with professional livestreaming to YouTube, Zoom, Microsoft Teams, and custom RTMP destinations. Hybrid events require a higher technical specification than in-person events — particularly for camera coverage, audio mix, and internet connectivity — and we scope these requirements during the technical design phase.
Does every Artlink Agency event come with a Technical Director?
Yes. Every production is assigned a dedicated Technical Director who owns the technical brief from the first site survey to the post-event debrief. The TD is responsible for equipment specification, crew management, run-of-show compliance, and real-time problem solving. This is a core part of our offering, not an optional add-on.
